How to prepare a useful quotation request

The supplier can respond more precisely when the request describes a real requirement. A message that includes the product, intended use, quantity and destination provides a better starting point than a price-only question.
Describe the product and intended use
Include the variety or product group and state whether it is intended for sowing, food processing or feed. Keep requirements for different uses separate so that the technical discussion remains clear.
Give quantity and timing
State the approximate tonnage, whether the purchase is one-off or recurring, and the preferred delivery period. If the final quantity is not yet decided, explain that it is an estimate.
Name the destination and requirements
The country, city or port identifies the delivery direction. Add any preferred delivery rule, packaging requirement, technical specification and document list. Unresolved points can be identified openly rather than guessed.
Introduce your business and role
Provide the company name, contact person, email and telephone number. Explain whether you are a buyer, supplier or representative. Use the contact form to share the request and discuss the next steps with the team.
